Policies and Licenses

Before depositing an item in OpenCUNEF, it is important to read the copyright policies of the corresponding publishers and journals. These policies can be found:

  • In the document itself, or in the Copyright Transfer Agreement signed by the author
  • On the publisher’s website

If the author does not know who holds the copyright, they must contact the publisher to request their authorisation before depositing the item in CUNEF Universidad’s institutional repository.

Authors are responsible for understanding and following copyright and open access policies, and for verifying what version can be uploaded depending on possible embargo periods or restrictions.

What version should you deposit in OpenCUNEF?

Before depositing an item, you must verify the permissions given by publishers to institutional repositories regarding whether the full text can be uploaded with open access, restricted access or a temporary embargo (a time restriction that usually ranges from six months to two years).  The different versions that can be uploaded are:

  • AM (Accepted Manuscript):This is the author’s final version, peer reviewed and accepted for publication, although not formatted by the publisher.
  • SMUR (Submitted Manuscript Under Review): This is any version the author has sent to a journal, that is neither accepted nor published yet.
  • VoR (version of Record): This is the final, typeset and published version, after the end of the peer review process.

In general, and wherever possible, we recommend depositing a version that is available for open access. 

If you deposit several versions, you must deposit all of them as a single item with a single handle; please avoid depositing the same research several times in different versions (English version, Spanish version, VoR, Postprint, etc.).

Before depositing books, book chapters or conference proceedings, please review the Copyright Transfer Agreement transferring ownership rights to the publisher, or contact the publisher directly to find out if they can be uploaded in open access in an institutional repository.

Once you have determined what version to deposit, one of the mandatory fields that you must complete is “Derechos de acceso”, to determine document access status. There are several options:

  • Open access: Please choose this option whenever possible. OpenCUNEF is an open access repository whose main purpose is to contribute to open science by giving visibility to our research output. This status means that the document can be downloaded by anyone who locates the reference.
  • Embargoed access: This status means that the document is not immediately available for open access. This happens when the publisher delays open access for a set period. After the embargo ends, the document will become automatically available.
  • Restricted access: This status means that the document is not freely available online due to publisher rules or policies.

Content Policy

OpenCUNEF is CUNEF Universidad’s institutional repository. Its purpose is to collect, preserve, manage and provide open access to the digital output of our institution’s scientific and academic activities, thus promoting the accessibility, visibility and impact of CUNEF Universidad’s publications.

OpenCUNEF uses DSpace software to structure its contents into Communities, Sub-Communities and Collections. Items must be stored a single collection.

Digital objects must meet a series of requirements to be deposited in OpenCUNEF:

  • Their quality must ensure readability.
  • They must be authored by at least one member of CUNEF Universidad.
  • They must be complete and ready for distribution, and not ephemeral.

If the author has transferred ownership rights to the publisher, the full text can only be uploaded to the repository when the publisher’s permission policy provides for open deposit of a version of the document.

By granting a non-exclusive deposit license, the author authorises the repository to make the document freely accessible online and accepts the terms and conditions of the repository.

CUNEF Universidad reserves the right to restrict access to, delete, or edit any items deposited in the institutional repository that do not comply with its policies.

Format Policy

OpenCUNEF supports a wide range of file formats. Although online access to all files is ensured through unique and permanent identifiers, long-term preservation and support are highly dependent on document format.

The following characteristics significantly increase the chances of ensuring long-term digital preservation:

  • Complete and open documents
  • Non-proprietary software
  • No password protection, no full or partial encryption
  • No embedded files, programs, or scripts

It is therefore advisable to deposit files in open or very popular proprietary formats. For text documents, PDF is better than Word, and for images, TIFF or JPG are better than GIF.

Regarding file size, the recommended maximum for each individual file is 512 MB.

Metadata Policy

Metadata is the minimum information required to identify a document. Metadata provides a standardised description of the digital objects in the repository to facilitate their retrieval, authentication, evaluation, preservation, and/or interoperability.

The purpose of this policy is to:

  • Ensure that metadata clearly describe resource contents to enable effective searches.
  • Ensure that metadata specify resource contents so that OpenCUNEF can present them better, enabling better recovery and promoting the visibility of the University’s research output.
  • Ensure the consistency and quality of all metadata.

There are several metadata types and models. Dublin Core (DC) is the metadata schema used in OpenCUNEF. The metadata can be accessed by any user, and reused without the need for explicit permission as long as it is not for profit and the user cites the original OpenCUNEF resource.

Metadata are distributed under the Creative Commons Zero (CC0) license. This license allows third parties to copy, modify, distribute, reuse, and share metadata publicly and freely without having to ask permission, so long as attribution is given to the sources.

Data Policies

OpenCUNEF content is accessible to the international community free of charge.

Users may make copies of full-text resources and reproduce, display, or present them in any format or medium for non-profit educational or study uses without the need to ask for explicit permission, provided that they include the author’s name, the title, and full bibliographic details, as well as a hyperlink or URL to the original metadata, and do not change the contents in any way.

Full-text resources may not be sold in any format or medium without the formal permission of the copyright holders.

Full-text resources can be collected by robots on a case-by-case basis. Routine collection by robots requires explicit authorisation from CUNEF Universidad.

Record Editing, Preservation, Substitution, and Deletion Policy

OpenCUNEF collects, manages, disseminates and preserves CUNEF Universidad’s research output. For this reason, records may not be deleted, except in certain situations described below.

If an author edits the content of a paper and wishes to deposit a new version, he or she must deposit it in the same item where previous version was already published to avoid duplications.

Exceptionally, repository managers shall delete, without seeking prior consent from the author, records that:

  • Are deposited in a format that is impossible or very difficult to preserve or display in OpenCUNEF.
  • Contain a virus or present other technical issues.
  • Infringe copyright: If it is detected that a publication has been mistakenly deposited without permissions for deposit in an open repository, it will be deleted immediately and the person who deposited then item will be contacted to request a version that can legally be deposited.
  • Have been plagiarised.
  • Have been duplicated.

OpenCUNEF will retain the works deposited even if authors change institutional affiliation.

Each digital item deposited will be assigned a Handle by an open system for persistent identification of digital resources (articles, magazines, images, etc.) that ensures a stable link (URL) that stays with the resource, even if the website changes location.

Deposit Policy

This section establishes who can deposit in OpenCUNEF and how they must do so.

Faculty members are generally required to deposit their research using the self-deposit (“Autodepósito”) option. The delegated deposit option is for exceptional use only.

Self-deposit enables researchers to deposit their work in OpenCUNEF after accepting the deposit license and under their own responsibility. Any researchers depositing a document are responsible for the copyright of the document, and must confirm that they have not transferred ownership or signed away exclusive rights to others (like commercial publishers). The deposit will be reviewed by the staff of CUNEF Universidad, who will reject it and notify the author by email if they detect any issues, so he or she can make any necessary modifications and resubmit it.

All CUNEF Universidad faculty members can deposit.

Service Policy

OpenCUNEF offers a series of services to promote easy and efficient use of the repository. This policy:

  • Defines repository services and management.
  • Coordinates repository initiatives.
  • Offers reference services and technical support, etc.

New functionalities will be implemented as new needs arise. The service policy may be reviewed and updated by CUNEF Universidad Management, always aimed at improving the service.

Privacy Policy

OpenCUNEF respects the privacy of its users: the data provided are used only to register authorised users in the intranet of the repository so they can deposit documents and activate the personalised alert service. OpenCUNEF registered users can subscribe to this daily alert service that informs them of new deposits in repository collections.

What are Creative Commons licenses and what are they for?

Creative Commons licenses are universal, free-to-use licenses that enable creators to grant the public permission to use their creative work under copyright law. Authors and/or rights holders can use them to provide a series of pre-approved permissions for specific uses of their work.

Creative Commons licenses have been developed by Creative Commons Corporation, a non-profit organisation that promotes the sharing and use of copyrighted content.

Putting works under a Creative Commons license does not mean that they are not copyrighted. These licenses authorise certain uses under certain conditions. There are different types of CC licenses based on how these uses and conditions are combined. They can be viewed on the Creative Commons website https://creativecommons.org/licenses/?lang=es_ES

The license chosen must match the permissions listed in the publication. It must be selected at the time of deposit.

When you upload a document to OpenCUNEF, you can assign, if you wish, a Creative Commons License. To do so, go to “Licencia CC” (CC License), select the “Creative Commons” option from the drop-down menu, and answer the two questions that will pop up on the screen. The appropriate CC License will be automatically assigned. The “Sin Licencia Creative Commons” (No Creative Commons License) option is equivalent to not touching the drop-down, leaving the item without a CC License (standard option).

Deposit License

To deposit a digital object, you must accept the deposit license by checking the corresponding box on the deposit form.
